The essentials for ordering with Wescan—clear, simple, and built to protect your timelines and quality standards.

General Terms & Conditions

1. Acceptance of Terms: By placing an order with Wescan Embroidery & Printing, the customer agrees to be bound by these terms and conditions.

2. Customization & Final Sale: All orders are customized to the client’s specifications; all sales are final and non-returnable.

3. Quality Assurance: A digital proof is sent prior to production for approval. Customers are responsible for reviewing/approving proofs. Wescan is not responsible for errors after approval.

4. Returns of Non-decorated Clothing: Returns of off-the-shelf, non-decorated items require approval and may incur restocking and supplier shipping fees; fees depend on supplier policy and item condition.

5. Payment Terms: Unless otherwise agreed in writing, orders must be paid in full before production begins.

6. Cancellation: Orders may be cancelled only before production starts. Costs already incurred (materials, work commenced) may be chargeable.

7. Delivery & Shipping: We work hard to meet deadlines but aren’t responsible for delays beyond our control (carrier, supplier, force majeure).

8. Limitation of Liability: Liability is limited to the amount paid for the order; we’re not liable for indirect or consequential losses.

9. Changes to Terms: Policies may be updated; the latest version appears on our website.

10. Governing Law: These terms are governed by the laws of Alberta, Canada; disputes fall under Alberta courts.

Customer-Supplied Garments

If we don’t carry the garment you need, you may supply your own. We’ll take every effort to ensure quality, but please review these requirements first:

  • Garments must be brand new and unworn (for equipment protection and sanitary reasons).
  • Wescan assumes no responsibility for replacing/reimbursing customer garments that become damaged or imperfect in our care. Fabrics vary by brand and there is no warranty on customer-supplied items or decoration.
  • Some items cannot be decorated due to cuts, seams, zippers, or other features that prevent machine operation. Non-tee items should be emailed or brought in for assessment before ordering.
  • Because misprints can occur, misprints on customer-supplied garments will not be reimbursed or replaced. Please provide extras—the greater of 2 pieces or 5% of the total.
  • Check for coatings (e.g., water-repellent finishes) that reduce print longevity.
  • We will not print on items with high sentimental value or on expensive, hard-to-replace garments. By supplying your own items, you acknowledge permanent damage is possible and won’t be replaced by Wescan.

Additional Handling Fees

  • Receiving, sorting, and handling customer garments incurs additional fees (not included in print pricing).
  • Unpacking/repacking fees apply for individually packaged items. If possible, bring garments unbagged.
  • Please remove stickers/attachments (size neck tags may remain).

How to Organize Garments Before Drop-off

  • Sort by size (smallest on top of the box).
  • Group by design/ink color (e.g., separate Red-ink and Blue-ink boxes).
  • For embroidered names, label each garment with its name.
  • Ensure items aren’t individually poly-bagged.
Dye Migration Disclaimer

What is dye migration? On polyester and many athletic blends, garment dyes can re-gas when heated (e.g., during curing or in a clothes dryer) and migrate into printed inks—especially whites and light colors. This can cause a visible tint or discoloration (often pink/grey) that may appear hours or days after printing.

High-risk fabrics & colors

  • Polyester or poly-rich blends (including performance wear and hoodies).
  • Deep and saturated shades such as red, maroon, burgundy, kelly, forest, royal, navy, neons, and heathers.

Our policy

  • While we use low-bleed inks and best practices, zero migration cannot be guaranteed on the materials above.
  • To reduce risk, we may recommend blocker/gray base layers, specialized inks, lower cure temps, or alternate decoration methods (e.g., embroidery, DTF). These options can add cost and production time.
  • Customer-supplied garments are printed at the customer’s risk with respect to dye migration.

Recommendations

  • Choose 100% cotton or styles labeled “bleed-resistant.”
  • For light/white prints on poly-rich colors, allow for a blocker base fee and potentially additional lead time.
  • Avoid post-print high heat (e.g., hot dryers/irons) within the first 72 hours.

Abandoned Orders

Collection Window: Orders must be picked up within 6 months of completion notice.

After 6 Months: Unclaimed items are considered abandoned and may be disposed of or donated to charity.

No Refunds: There is no reimbursement for any portion of unclaimed orders (garments, decoration, or services).

Customer Responsibility: Provide accurate contact information and pick up promptly. Contact us to make special pickup arrangements if needed.

Artwork Ownership

All artwork created by Wescan—including digitized embroidery files, vectorized art, and separations—remains the sole property of Wescan. Customers receive a limited, non-exclusive license to use the artwork only for projects produced by Wescan. We do not provide or transfer the underlying art files; requests to obtain files outside this scope are not accommodated.
